Organization Overview

The Western Canadian Music Alliance (WCMA) is a member-based organization that includes the Music Industry Associations (MIAs) of British Columbia, Alberta, Saskatchewan, Manitoba, Northwest Territories and Yukon as well as partnership with Nunavut. The main function of the WCMA is to promote and celebrate western Canadian music and to create business and career development opportunities for western Canadian musicians and music companies while maintaining residence in the West. This is accomplished primarily through producing the BreakOut West (BOW) conference and festival and the Western Canadian Music Awards. This event is held each year in a different official-member regions.

WCMA and BreakOut West is a forward-thinking organization, always staying on top of new technology and trends to best support Alliance members, artists and the music industry. BreakOut West strives to be at the forefront of the music industry and represent the best new music from the region.



The WCMA head office and location of the 2021 in person event is Treaty-one territory, currently known as Winnipeg. Applicants from this region will be prioritized as there is value for this position specifically to have local knowledge of the host city, however if an applicant from outside the region can demonstrate experience in the community, they may be considered. If a candidate is from outside the member region and chooses to relocate to western Canada for the duration, of the contract, travel and accommodation expenses may not be provided. 

While the main office is in Winnipeg, and successful candidates may work from this space, it is preferred that candidates have independent working spaces, apart from onsite work during the event.



As a small team, the ideal candidates will be collaborative, adaptable, productive and a great fit with the organization culture. With the speed of major events and the music industry, all team members are required to work independently in a fast-paced environment to meet deadlines consistently.

Applicants should possess the following required qualifications:

  • Energetic individual with a passion for music and a creative approach to program planning and event management.
  • Demonstrated time management skills with a proven ability to meet deadlines;
  • Impeccable attention to detail;
  • Ability to work on multiple projects simultaneously;
  • Ability to be responsive and agile with a strong tolerance for navigating change or changing priorities;
  • Demonstrated ability to lead operations and manage resources effectively;
  • Efficient in Microsoft Office and Google Suite;
  • Excellent oral and written communication skills and effective organizational and staff management skills;
  • Ability and desire to contribute to creating a safe and inclusive work environment that is free from harassment, bullying and racism.
  • Skilled at working with diverse individuals and teams in a culturally safe and sensitive manner.

The following are not required but will be considered assets for this position:

Timeline Expectations and Compensation

These are all contract positions with the most strenuous workload being in January and early February. All roles will commence approximately three months prior to the event dates and continue through February 2022 with varied hours throughout the period.

Contract fees will be discussed with candidates chosen for interview for each specific role.

Festival Production Assistant

  • Send Marketing Information Package to each festival venue and confirm what marketing they are doing

  • Delivering event branding (signage, materials) to each festival venue and check that it is posted

  • Deliver sponsor materials to each festival venue and check that they are in use

  • Ensure festival venue staff are aware of the process for promoting, offering and serving sponsored alcohol and the process for allocating the same for bands. 

  • Prepare festival venue information packages for each festival venue for Venue Managers, including band drink tickets

  • Work closely with Volunteer Coordinator to ensure Venue Managers and other festival volunteers are briefed and prepared for their roles

  • Manage wristband allocation, inventory and accounting for each Festival venue

  • Responsible for the receipt, management and accounting of all festival venue floats, cash and wristband inventory

  • Manage band drink ticket allocations

  • Circulate around venues throughout fest nights to oversee status and support Venue Managers and door volunteers stationed at the entry to each festival venue.

  • Main point of contact to festival venues and Venue Managers onsite

  • Other miscellaneous items relating to festival activities as required.

Virtual Programming Production Assistant

  • Work with Submissions and Operations Manager to ensure all speaker bios and photos, session descriptions and schedule is accurate in Pheedloop (the hybrid and online platform);

  • Work with Content Manager to ensure all highlight artist schedules, images, bios and links are accurate in Pheedloop;

  • Create and schedule announcements in Pheedloop;

  • Work with Logistics Manager to upload pre-roll and post-roll videos as required;

  • Work with technical team to facilitate livestream of onsite conference content to the platform;

  • Work with Technical Director to get recordings of live sessions, trim as necessary and upload them to Pheedloop;

  • Monitor and contribute to Lobby and Session chat;

  • Receive and action all requests onsite for changes or updates to the online platform;

  • Responsible for updates to and monitoring of all online content on Pheedloop;

  • Write a brief post-event report highlighting activities, successes and challenges, and recommendations for next year;

  • Other miscellaneous items relating to virtual programming activities as required.

Conference Production Assistant

Reports to the Logistics Manager and working closely with the Technical Producer and other contract staff and venue volunteers, this role will assist in production details and delivery to the BreakOut West Music Conference. This includes but is not limited to; 

  • Ensure all conference rooms are maintained, set and ready, tidy and professional;
  • Manage lobby/foyer and reception rooms to ensure tidiness and branding and materials are organized;
  • Respond to conference speaker inquiries regarding technology availability;
  • Prepare conference pre-show powerpoint presentations and distribute;
  • Work closely with AV team on site to ensure each conference room has the materials needed;
  • Coordinate and manage the room scanning process - ensuring appropriate mobile app is installed and logged in and ready for scanning;
  • Work closely with Volunteer Coordinator to ensure volunteer Room Monitors are stationed at the entry to each conference room to scan attendees;
  • Write a brief post-event report highlighting activities, successes and challenges, and recommendations for next year;
  • Other miscellaneous items relating to conference activities as required.

Social Media / Marketing Assistant

The Social Media / Marketing Assistant will support the onsight collection and posting of social media communications, under the guidance of the WCMA Marketing Manager.  

  • Work with the Marketing Manager and Publicist to support capturing and posting images, quotes and video clips throughout the event for public posting;
  • Support content for daily recap videos and delegate emails;
  • Collect and organize content gathered from volunteer photographers for filing on WCMA Google Drive.

Volunteer Coordinator

  • Communicate with all team members and host committee to collect volunteer needs, job expectations (most roles have existing job descriptions) and create schedule;
  • Recruitment of suitable volunteers to fill roles required by various BOW team members including outreach and marketing with the support of the WCMA Marketing Manager; 
  • Maintain database system of volunteer applications, scheduling and communication;
  • Act as main contact for all volunteers and potential volunteers including communicating roles they are assigned to;
  • Organize volunteer orientation meeting and sub meetings if relevant with BOW staff team and volunteer base;
  • Oversee Transportation Coordinator;
  • Oversee volunteers onsite (with the support of volunteer manager and production assistance roles) and volunteers’ schedules throughout the event to ensure allocations are appropriate and cancellations are dealt with.
  • Write a brief post-event report highlighting activities, successes and challenges, and recommendations for next year, including number of volunteers and number of volunteer hours worked.
